Terms & Conditions

  1. Registration & Payment All attendees must complete registration and submit full payment prior to the event. Registration is confirmed only upon receipt of payment. NAMWOLF reserves the right to deny entry if payment is incomplete or invalid. NAMWOLF reserves the right to reject or cancel any registration for any lawful reason, including noncompliance with these Terms or the Code of Conduct.
  2. Cancellation & Refund Policy Cancellation requests must be submitted in writing to [email address] no later than September 18, 2026. Approved refunds will be issued less a $75 administrative fee and any non-refundable payment processing fees. No refunds will be issued after September 15, 2026. Substitution requests may be approved by NAMWOLF in its sole discretion. Refunds shall not apply to hotel costs and expenses which are covered by their own cancellation policy.
  1. Event Changes or Cancellation NAMWOLF reserves the right to modify the event program, speakers, venue, or schedule at any time. In the event of cancellation due to unforeseen circumstances (e.g., weather, public health concerns), NAMWOLF’s sole liability shall be limited to the amount of registration fees actually paid by the attendee. NAMWOLF shall not be responsible for airfare, hotel expenses, travel costs, or other consequential damages arising from event modification or cancellation. NAMWOLF shall not be liable for delays, modifications, or cancellation caused by events beyond its reasonable control, including acts of God, weather events, pandemics, labor disputes, terrorism, governmental orders, venue unavailability, transportation disruptions, or other emergencies.
  1. Code of Conduct All attendees must behave professionally and respectfully. Harassment, discrimination, or disruptive behavior will not be tolerated and may result in removal from the event without refund. NAMWOLF reserves the right to determine, in its sole discretion, whether conduct violates the Code of Conduct. Please follow this link for the NAMWOLF Code of Conduct.
  1. Conflicting Events In accordance with the NAMWOLF Code of Conduct, NAMWOLF event attendees agree to refrain from scheduling events or activities that conflict with the official conference schedule.
  1. Health & Safety Attendees agree to comply with all health and safety guidelines in effect at the time of the event. Participation is at the attendee’s own risk. Attendees acknowledge the inherent risk of exposure to communicable illnesses in public gatherings and voluntarily assume such risks.
  2. Photography & Media Release Attendees grant NAMWOLF the irrevocable right and permission to photograph, record, livestream, and otherwise capture their likeness, voice, and image during the Event for promotional, educational, archival, and commercial purposes in any media now known or later developed, without compensation.
  1. Liability Disclaimer To the fullest extent permitted by law, attendees voluntarily assume all risks associated with participation in the Event and related activities. NAMWOLF and its officers, directors, employees, volunteers, sponsors, vendors, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss, injury, illness, or damage arising from attendance at or participation in the Event, except to the extent caused by gross negligence or willful misconduct. Participation in optional recreational or offsite activities is voluntary and undertaken at the attendee’s own risk.
  1. Accessibility & Special Requirements Attendees are encouraged to notify NAMWOLF in advance of any accessibility needs or dietary restrictionsjane_kalata@namwolf.org. NAMWOLF will make reasonable accommodations in accordance with applicable law for attendees who submit requests in advance.
  1. Hotel Information and Cancellation By registering, attendees authorize NAMWOLF to share limited registration information with the official conference hotel for purposes of confirming room block participation and event administration. Reservations made within the NAMWOLF room block may be subject to special cancellation requirements established for the Event, including a minimum five-day cancellation notice requirement.
  1. Intellectual Property All event materials, presentations, and content are the intellectual property of NAMWOLF or speakers and may not be recorded, reproduced, or distributed without permission. Unauthorized recording, livestreaming, transcription, or AI-assisted capture of presentations is prohibited without prior written consent.
  2. Governing Law These Terms shall be governed by the laws of the State of Illinois, without regard to conflicts of law principles. Any dispute arising under these Terms shall be brought exclusively in the state or federal courts located in Cook County, Illinois.
  3. Privacy Policy Reference Personal information collected in connection with registration shall be handled in accordance with NAMWOLF’s Privacy Policy.
  1. CLE Disclaimer CLE credit approval is subject to applicable state accreditation requirements and attendance verification procedures.
  1. Sponsor/Exhibitor Distinction Sponsors and exhibitors may be subject to separate agreements and policies.
  1. Anti-Solicitation / Noncommercial Use Attendee lists may not be used for unauthorized commercial solicitation.
  1. Severability and Entire Agreement If any provision of these Terms is determined to be unenforceable, the remaining provisions shall remain in full force and effect. These Terms constitute the entire agreement between the parties relating to attendance at the Event and supersede prior communications relating thereto.
  1. Agreement to Terms By registering for and attending the event, participants agree to these Terms and Conditions.
